Loan requests should be directed to Rhonda Evans, Director of The LuEsther T. Mertz Library of The New York Botanical Garden. Requests must be made in writing at least six months prior to the opening date of the exhibition and should include the exhibition title, on-view dates, name and location of the exhibition venue(s) and a list of the objects requested for loan. Borrowing institutions must also submit an American Association of Museums Standard Facilities Report for each exhibition presentation site.
A loan fee of $100.00 per collection item will be charged to the Borrower.
Fees are doubled for materials requested less than six months prior to exhibition opening date (three months for NYC institutions).
The borrower is responsible for all preparation costs related to the loan (i.e., matting, framing, materials), as well as all conservation costs.
Insurance costs are borne by the Borrower. Borrower must provide certificate of insurance listing The New York Botanical Garden as additional insured.
Borrowing institution is responsible for all related expenses.
In the event of the Borrower's cancellation of a loan request, Borrower will be responsible for payment of all preparation and conservation costs incurred prior to date of cancellation.
The New York Botanical Garden's Outgoing Loan Form Contract must be signed and returned to the Exhibitions Coordinator no later than three weeks prior to shipment of the loan.
